How to use Coordinate section as an Event Supplier

Coordinate is your event-focused, lightweight CRM. Save events, set priority (hot/warm/cold), see who’s working on what, keep organiser POCs, and track progress without spreadsheets.


  • Bookmark & prioritise: save events, label them hot/warm/cold, or use your own priority labels.

  • Shared context: team notes, attached files, and organiser contacts live on the event record.

  • Roles: everyone can add notes/files; Admins can add custom fields and change status.

  • Live updates: event changes flow into Coordinate; history is kept for next season.

  • Workflow: when an event moves from exploration to action, take it into Prospect Outreach.

  • Note: move events to coordinate to ensure you dont get charged search tokens


Steps

  1. From search/trackers, click Save to Coordinate.

  2. Open the event → set priority and owner.

  3. Add notes, files, and organiser POC.

  4. (Admin) Add custom fields (budget, deadline, goal).

  5. Move status through your Kanban until done 


Tips

  • One record, one thread. No parallel email docs.

  • Keep a “Next action, owner, date” line at the top of notes.

  • Create saved views by owner, region, or deadline for quick reviews
