Coordinate gives sales/BD teams a shared board to move event opportunities from idea to action, fast.

  • Assign ownership: prevent duplicate outreach; know who’s driving each event.

  • Centralise proof: attach proposals, past work, rate cards; paste links as notes.

  • Stay aligned: see teammates’ interest, questions, and blockers in one place.

  • Pipeline clarity: Kanban stages (exploratory → in discussion → proposal sent → closed).


Steps

  1. Agree team stages and priority labels (hot/warm/cold).

  2. Create saved views or use filters (By Owner, This Month Deadlines, APAC Only).

  3. Add a note template: “Update | Next action | Owner | Date”.

  4. Run a weekly 20-min review: filter by Pending/In Discussion, clear next actions.

  5. When ready, move to Prospect Outreach for organiser comms.


Tips

  • Use short tags in notes: [price], [booth], [legal], [CFP].

  • Keep proposals attached to the event record—no hunting for v12-final.pdf.

  • Turn on notifications only for events you own to avoid noise.
