How do I manage shortlisted events in Outreach?

Once an Admin shortlists an event in Coordinate, it’s ready for execution in Outreach—contacts, notes, files, and stage tracking in one place.

  • Keep Outreach focused on high-intent events only.

  • Use it to maintain organiser context: who you spoke to, what was agreed, next steps.

  • Export details if you need offline reviews; keep the master record in WHR.


Steps

  1. Mark Shortlisted in Coordinate (Admin).

  2. Open Outreach → select the event.

  3. Add organiser contacts, notes, and any proposals or decks.

  4. Update stage after every interaction (In discussion / Pending / Closed).

  5. Archive or mark Closed (won/lost) when done.


Tips

  • Add a one-line “next action” in the notes after every touch.

  • Attach files inside the event record—no hunting later.

  • Use filters (owner, stage, region) to run weekly pipeline reviews.

  • Shortlisted event automatically show up in 'promote'
