How do stages work in Outreach?

Stages give you a clear, Kanban-style view of every shortlisted event’s progress with organisers.


Typical stages:

  • Shortlisted – approved to pursue (from Coordinate)

  • In discussion – active back-and-forth with organiser

  • Pending – waiting on organiser reply or internal decision

  • Closed (won/lost) – participation confirmed or dropped

Use stages to prioritise work, prevent stalls, and forecast outcomes.


Steps

  1. Move event from Coordinate → Outreach (Admin).

  2. Open event → set current stage.

  3. Update stage after each milestone; add a short note.

  4. Filter Outreach by stage for weekly reviews.


Tips

  • Keep Pending lean; push items to a decision date.

  • Add a “why lost” note when closing—useful next year.

  • Tie stages to calendar checkpoints (budget lock, booth cut-off, speaker CFP).
