How to Use Coordinate Function as an Organiser

Created by Atul Todi, Modified on Tue, 19 Aug, 2025 at 1:08 AM by Atul Todi

Coordinate is designed to simplify how organiser teams work together. Here’s how to set it up and get value immediately.

Instead of juggling Excel sheets, emails, and multiple tools, WHR lets organisers manage pipelines in one place. Sales teams can assign ownership for sponsors/exhibitors, log campaign notes and track responses. Team has shared visibility into the pipeline.

Steps

  1. Go to Coordinate tab in WHR.

  2. Identify and shortlist potential prospects

  3. Mark prospects as hot/warm/cold (or create different labels)

  4. Create tasks and assign them to teammates.

  5. Use the Kanban view to track progress.

  6. Keep adding notes from every call or email.

Tips

  • Use Coordinate as the “single source of truth” for potential sponsor/exhibitor conversations.

  • Assign one owner per lead to avoid overlaps.

  • Use filters to quickly see which events need immediate follow-up.

  • Encourage marketing and sales to use the same board for cross-team visibility.
