Overview

Outreach in WHR.AI is built specifically for the event ecosystem, unlike generic CRMs. It gives you a Kanban-style view of all your conversations, direct access to points of contact, and the ability to send messages straight into decision-makers’ inboxes through our collaboration with 10Times.com. Think of it as LinkedIn Sales Navigator messaging, but optimized for events.


Main Content

Most CRMs like Salesforce, HubSpot, or Pipedrive aren’t designed for events. They don’t surface active event contacts and they don’t deliver your message directly. Outreach changes this by:

  • Connecting you to active company contacts tied to events.

  • Delivering direct messages to organisers inside their WHR/10Times inbox and email.

  • Helping you manage every conversation in customisable stages (Kanban board).

  • Keeping a history of communication so you never lose track of negotiations or discussions.

This makes Outreach a powerful tool for participants and suppliers who need direct access to organisers and decision-makers.


Steps

  1. Select and shortlist event from coordinate section

  2. Click Outreach tab to open the Kanban-style view and see your event list

  3. See events in different stages or select an event to take next action

  4. Send your message directly – it goes to their WHR/10Times inbox and email.

  5. Move the conversation through stages (New, In Progress, Negotiation, Closed, etc.).

  6. Use Outreach history to revisit previous discussions or pending follow-ups.


Tips

  • For Event Participants

    • Use Outreach to coordinate directly with event organisers of shortlisted events.

    • Track every stage of negotiation (e.g., booth size, sponsorship, ticket upgrades).

    • Leverage the WHR concierge bot to nudge organisers if they delay responding.

  • For Event Suppliers & Service Providers

    • Send direct RFPs to organisers or exhibitors.

    • Track each client conversation by stage for smoother external coordination.

    • Use it as a single inbox for all event-related business discussions.

(Note: Outreach is not yet enabled for organisers to contact companies, but this will be added in future.)
